You don't need integration for everything. You need it when the manual work is costing you more than the build. Signs it's time:

  • Someone on your team rekeys the same data into two systems more than once a week.

  • Friday reports take three hours because the data lives in four places.

Common Questions

Q: What does it cost? A: Typical range £4,000-£25,000 depending on how many systems, how dirty the data is, and whether the platforms have proper APIs. A single Stripe-to-Xero connector might be £4,000. A full CRM, ecommerce and accounts sync is usually £15,000-£25,000. Fixed price after discovery — no hourly billing surprises.

Q: How long does it take? A: Most integrations go live in four to eight weeks. Simple two-system connectors can be done in two to three weeks. Complex multi-system jobs with messy legacy data take eight to twelve. You'll see working integration every two weeks, not a six-month black box.

Q: What if my system doesn't have an API? A: We've still got options. Scheduled CSV imports, database-level connections, screen scraping where nothing else works, or middleware that wraps the old system in a modern API. We'll tell you honestly in discovery if it's not worth it.

Q: Can you integrate with legacy software? A: Yes. Access databases, old Sage installations, SQL Server, on-premise ERPs, software the original vendor no longer supports. We've connected systems from the early 2000s to modern cloud platforms. It's harder, but it's doable.

Q: What happens if Stripe or HubSpot changes their API? A: We build with versioning in mind and monitor for deprecation notices from the major platforms. If a vendor announces a breaking change, we update before it breaks. We offer support retainers from £200/month for ongoing peace of mind, or you can pay per fix.

Q: Do you do the testing? A: Yes. We test in a staging environment with real data copies before anything touches your live systems. You'll see it running end-to-end before we switch over. We also build in logging and alerts so you know immediately if something goes wrong post-launch.

Q: Who maintains it after launch? A: Your choice. Most clients take a small monthly retainer for monitoring and platform updates. Some prefer pay-per-fix. Either way, we don't disappear after go-live — we built it, we know how it works, and we stick around.

Q: Will it slow down our existing systems? A: No. Integrations run asynchronously where possible, with rate limiting to respect each platform's limits. Your CRM keeps feeling like your CRM. The integration runs in the background.

How It Works

Week 1: Discovery. We sit down (in Glasgow, on Teams, your call) and map what you've got: which systems, what data needs to move, in which direction, how often. We look at the actual APIs, not the marketing pages. By the end of the week you've got a fixed-price quote, a timeline, and a written plan. If it doesn't make commercial sense, we'll tell you.

Week 2: Data mapping. We document every field. Customer name in Shopify maps to "ContactName" in Sage. Order ID becomes invoice reference. We catch the edge cases now (what happens with refunds, partial shipments, duplicate emails) instead of finding them in production six weeks later.

Weeks 3-5: Build. We develop in two-week sprints. You see working integration at the end of every fortnight. Real data, real systems, real flow — not slides. You give feedback, we adjust. No "we'll show you in month four" black boxes. This is how the homepage promises it and this is how we deliver it.

Week 6: Staging test. Everything runs end-to-end in a staging environment with a copy of your live data. We run it for a full business cycle — a week of real-shaped transactions — and watch for anything weird. You test it too. Nothing goes near production until you sign off.

Week 7: Cutover. We switch in a quiet window (usually a Friday evening), monitor closely for the first 48 hours, and stay on hand for the first full week. Logging and alerts are built in from day one, so you'll know about any hiccup before your customers do.

Week 8 onwards: Live and supported. Your team uses the integration. We monitor, fix anything that surfaces in the first month at no extra cost, and hand over documentation. After that, you choose: monthly retainer for ongoing care, or pay-per-fix.
